Contract Modernization

Project Overview

The university is seeking to modernize contracting to help increase efficiency, streamline processes, and improve transparency. As an initial step, the university is revamping the process whereby individuals are granted specific signature authority for contracts and evaluating options for a contract management system.

Signature Authority

 Business Affairs and University Initiatives & Policy are updating the process for signature authority to ensure a coordinated approach that supports the university’s mission and follows contracting regulations. To support this effort, a new policy on signature authority as well as a clear process for requesting signature authority are being developed.

Contract Management System

Business Affairs, UITS, and University Initiatives & Policy are exploring the possibility of a new contract management system.

 January 2025

  • Stakeholder interviews were held with 21 offices that are involved in the contracting process, including contracting offices, offices with signature authority, compliance and regulatory offices, and other campus stakeholders. 
  • The goal of these meetings was to learn about requirements for a contract management system to ensure that we choose a vendor solution that meets the needs of our campus.

 February 2025

  • An updated list of system requirements was developed and shared with the Contract Information System Governance group.

March 2025

  • Demos with selected vendors were scheduled.

 Future Goals

  • Select a new contract management system.
  • With support from UITS, implement a contract management system. 
  • Onboard offices in a phased approach.
